Procurement Specialist
Position Summary
The Procurement Specialist plays a vital role in ensuring the timely ordering and delivery of materials and services to meet customer requirements. This position requires ownership of resolving supply issues and discrepancies, as well as managing procurement processes to maintain consistent material flow aligned with forecasts. Responsibilities include planning and issuing purchase orders (POs) to our suppliers, managing inbound freight from domestic and overseas sources, monitoring deliveries, and addressing any issues to prevent delays or shortages. Additionally, the Procurement Specialist will assist in sourcing new and existing parts to ensure best overall value.
Experience sourcing and procuring goods from international suppliers in an industrial distribution environment is necessary. To excel in this role, the Procurement Specialist should also possess strong communication, negotiation, and analytical skills. A successful candidate will contribute to the development and implementation of efficient procurement strategies and solutions.
Primary Responsibilities
- Plan, create, and process requisitions and purchase orders for raw materials, sub-assemblies, finished goods, and services to meet business needs.
- Manage the cost, movement, and documentation of international inbound shipments.
- Coordinate with sales team to maintain accurate forecast planning.
- Track supplier orders and ensure on-time deliveries.
- Establish and maintain strong relationships with key suppliers, measuring their performance based on cost, quality, delivery, and service levels.
- Coordinate with Accounts Payable to ensure timely payment processing upon receipt of goods.
- Communicate regularly with suppliers, organizing meetings and projects to resolve supply issues.
- Work with internal teams and suppliers to address and resolve any concerns.
- Initiate corrective actions for defective materials and follow through with suppliers to resolve issues.
- Research and identify prospective suppliers for assigned categories.
- Analyze industry trends and demand patterns, supporting senior management in developing sourcing strategies.
- Prepare procurement reports and maintain procurement records.
- Contribute to the Procurement Policy and Procedure Manual.
- Ensure compliance with company policies, procedures, and regulatory standards.
- Assist with special projects as assigned.
Qualifications
- Experience in wholesale industrial procurement or a related field.
- Experience with direct importing.
- Exceptional attention to detail, analytical capabilities, and a results-driven mindset.
- Strong communication, interpersonal, and negotiation skills.
- High standards of integrity and professionalism.
- Proficiency in Microsoft Office and experience with ERP systems.
- Solid understanding of MRP and the interrelationship between inventory, supply, and demand.
- Ability to work independently and achieve results with minimal supervision.
- Strong organizational and decision-making skills, with the ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Leadership capabilities, including team building, analytical thinking, and problem-solving skills.
